This is an email received yesterday from the SU about some things they ae
organising on wednesday. I know I will find it difficult to get to the events at
this late notice, and don't expect anyone else to do anything to make themselves
available specially. However, if you are free and want to go along then I am
happy to help organise a group, and turn up if it turns out that I can. If we're
unable to make numbers, I plan to send the SU an email explaining and offer to
take a photo on Tuesday or Thursday and send it to them. Sorry for the late
notice - as I said, I don't expect anyone to change plans for this, it's only a
"if you want to".

Subject: WEDNESDAY 12TH!! photos&video!!!!
Hi all,
I believe most of you know about the 2 things that are happening on Wednesday
the 12th of January on campus (campus video/photo for the website) but not all
of you do so we will explain it briefly again. I know I have already sent a
couple of long emails not long ago but this one is very important to make sure
everything goes well so please do read the next 3 paragraphs carefully. We are
also attaching an important document you need to have a look at with the times
you will be taking your team/society photo and the position on campus you will
have to be in for when the camera/s passes by.
Firstly regarding the pictures, we are working to re launch the Student
Activities side of the new Students’ Union website soon. As well as re launching
the club of the week/society of the week award, we want to make sure that people
get the information they need from your club/society when they go on your
website and whilst many of you have already other websites or groups etc... The
links will be added so people can be forwarded to them too. It will be very
useful for freshers who don’t know much about your club or society and wish to
get some information about it or see your recent news etc… However as part of
this re launch, 3-5 members from each club/society will be required to take a
picture on the 12th of January. (In sport clubs’ case, make sure that whoever
you chose looks professional e.g. same kit and not different colour socs and
that kind of thing. In society’s case, maybe wearing a committee hoodie and
loads of props that help you show what you do. There can be a few exemptions in
a few societies where you can have more members on the photo so you can show
what you do but the idea is to make it look good and professional as well as
give an idea of what your society represents e.g. a choir can have a few more
than just 3-5.) Make sure the players/members who are chosen, best represent
your activity. We have 2 photographers and sports photos will be taken down at
Nobles and Society photos will be in/around founders. Please find attached the
times allocated to each of you.
The other thing, which is really important, is the viral video we will be
recording on campus on the 12th of January, which showcases ALL of our clubs and
societies and the student activities the Students’ Union offers. It is a great
way to show to other universities, other students and most importantly
prospective Royal Holloway students what we do when they are thinking about
applying to our University. It is also a way to show to college everything that
is involved within Student Activities and all we have to offer in the Students’
Union and how important it is that in these times of cuts to Higher Education,
that our activities don’t get affected as it enhances the student experience of
so many students. Not many teams have a fixture this Wednesday, but for it to
work we need ALL of your club's and society's members. So pass it on to
everyone. You will need to come with all your gear, hoodies, kits and props. On
the attached document we have placed your club/society on different places of
campus through which we will all pass through. Contact if there’s any issue but
we will have a team that on the day shows you exactly where you need to be
although the attached document gives you an idea. We will also do a party or
something to celebrate it when it is done, edited and getting thousands and
thousands of views ;) Yourmain role is to get EVERYONE from your club and
society to come in order to make it work(delegate it to captains to make sure
they get a big turnout from their teams, tell all your committee members who
don't receive this, tell everyone). We will need you to be ready for the video
in your setting location by 1pm! (As I said in the attached document it says
approximately where you will be but we will indicate exactly on the day or
contact us if you need help/clarification/ideas).
When the camera comes passed (there will probably be two of them, one couple of
minutes after the 1st one), you will be doing different things. So a sport team
they will be in their kits and may be playing their sport, doing martial arts,
kick ups, fencing, collisions etc… And for societies you will either be
performing or just being lively in general. Do help yourself with props because
that is what is going to make the video look good. So bring anything, costumes,
balloons, a prop that defines your society or if you don’t have any, absolutely
anything that makes it fun! Please collect balloons from the Student Activities
office on Tuesday. These types of videos have worked in other countries in the
past because people literally brought any funny costumes/props etc they had
lying at home, so imagine it is a bit like any fancy dress/props theme SU night.
We will be having Colossus D Bear walking around different scenes, people with
their skis, sail and board getting chased by an inflatable shark, photography
society taking loads of pictures at the camera itself, students appearing from
different windows, stairs and terraces just generally being lively and active.
We may come along with music so dance to the music or play it in your mind if
you want. Once the both cameras have passed by your sequence, you will need to
run down to Medicine door (grab yourself a drink whilst we finish going round
the rest of campus if you want) as the last shot of the video will be from the
top of Medicine hill seeing all of the clubs and societies outside Medicine
door.
We’ll be giving prizes away to the best club/society in terms out and
performance!! Remember to see attachment
